How to Add an Email Signature in Apple Mail

Your email signature is often the first impression people have of your professional identity. A missing or plain signature can make your messages look incomplete, especially when you're sending emails from your iPhone or Mac.

Start by opening the Mail app on your Mac. Click the Mail menu at the top, then select Preferences. A new window will open—look for the Signatures tab at the top and click it.

Once you're in the Signatures section, you'll see a list of your email accounts on the left side. Select the account where you want to add the signature. Next, click the plus (+) button at the bottom to create a new signature.

A blank text box will appear where you can type your signature. Add your name, job title, phone number, website, or any other contact information you want included. Keep it concise—most professionals use 3-5 lines.

After you've entered your signature text, close the Preferences window. Your signature is now saved and will appear on all outgoing emails from that account.

If you manage multiple email accounts in Apple Mail, you can create different signatures for each one. Go back to Mail > Preferences > Signatures and select a different account from the left panel. Click the plus button again and create a unique signature for that account.

To set a default signature, look for the dropdown menu that says "Choose a signature." Select the signature you want to use automatically for each account. If you want to manually choose a signature for specific emails, select "None" in this dropdown, and you'll be able to pick your signature from a menu when composing messages.

Apple Mail allows you to paste formatted signatures with bold text, colors, and line breaks. If you've created a signature in a word processor or HTML editor, you can copy and paste it directly into the signature box. Apple Mail will preserve most formatting, including fonts and colors.

For more complex signatures with logos or images, however, you'll run into limitations in Apple Mail's basic editor. If you're on iPhone or iPad, note that Apple Mail on iOS doesn't let you customize signatures the same way. You can only add a default signature in Settings > Mail > Signature, and it will apply to all accounts. For device-specific signatures or more control, create your signature on your Mac first, and it will sync to your iPhone and iPad.
