How to Add an Email Signature in Apple Mail
Adding a signature to Apple Mail takes less than a minute and ensures every email you send includes your contact details and professional branding. You'll set up a signature that appears automatically on all outgoing messages, saving you time and keeping your communications consistent.
Before You Start
- ●Apple Mail application (version 2.0 or later)
- ●A Mac running macOS 10.12 or newer
- ●Your signature text, logo, or headshot file ready (optional)
Step-by-Step Instructions
Open Apple Mail Preferences
Launch Apple Mail on your Mac. Click the Mail menu in the top toolbar, then select Preferences from the dropdown. A new window will open with several tabs at the top. You're now in the settings area where all signature options live.
Tip: On newer Macs, you can also use Command+Comma to open Preferences directly.
Navigate to the Signatures Tab
In the Preferences window, click the Signatures tab (it looks like a pen icon). You'll see a list of your email accounts on the left side and a middle column showing any existing signatures. The right side is where you'll compose your new signature.
Tip: If you have multiple email accounts, you can create a different signature for each one.
Create a New Signature
Click the plus (+) button at the bottom of the middle column. A new signature entry will appear with "Signature #1" as the default name. Rename it something meaningful like "Professional" or "Work" by double-clicking the name. Then click in the text area on the right and begin typing your signature content.
Tip: Keep your signature concise—three to five lines with your name, title, phone, and email is ideal.
Add Formatting and Images
You can format your signature using the menu options at the top of the text box (bold, italic, font size, color). To add a logo or headshot, drag and drop the image directly into the signature text area, or copy and paste it. Note that Apple Mail stores images as attachments, which increases email file size.
Tip: Avoid large images; compress logos to under 50KB to keep emails light and professional.
Assign Your Signature to Email Accounts
Select your email account from the left column, then use the dropdown menu under "Choose a signature for new messages" to select the signature you just created. If you want different signatures for replies and forwards, set those separately. Close Preferences when you're done—your changes save automatically.
Tip: Set one signature as your default for all new messages, but you can always change it per email before sending.
Common Problems and Fixes
My signature isn't appearing on outgoing emails.
Check that you've selected the correct signature in Preferences under your email account. Also verify that the signature isn't set to "None" in the dropdown. If you recently made changes, restart Apple Mail to ensure they take effect.
Images in my signature appear as broken attachments to recipients.
Apple Mail embeds images as actual file attachments, not as base64-encoded content. This can cause display issues in some email clients. Consider using a text-based signature instead, or use an HTML email signature tool that properly encodes images.
My signature looks different when recipients view it.
Apple Mail doesn't support all formatting across different email clients. Stick to basic formatting (bold, italics, standard fonts). Recipients using Outlook or Gmail may see different font sizes or colors than you intended. Test your signature by sending a message to yourself using a different email service.
💡 Pro Tip
Create multiple signatures for different contexts—one formal for client emails, one casual for team communication—and switch between them as needed. You can even use the Insert Signature option in the compose window to override your default signature for a single email.
Why This Matters
While Apple Mail's built-in signature tool works, it lacks professional HTML formatting and reliable image embedding. If you need a polished, consistent signature that works across Gmail, Outlook, and other email clients, SignatureFox creates table-based HTML signatures that render perfectly everywhere.
