How to Add an Email Signature in Proton Mail
Your email signature is often the first professional impression you make on contacts. Proton Mail lets you set up a signature that appears automatically on every outgoing email. In this guide, you'll learn exactly how to create and customize your signature in under five minutes.
Before You Start
- ●Active Proton Mail account (free or paid plan)
- ●Access to Proton Mail web app (settings available on web only)
- ●Your contact information ready (name, title, phone, website)
Step-by-Step Instructions
Log In and Open Settings
Sign into your Proton Mail account at mail.proton.me. Click the gear icon in the top right corner and select Settings from the dropdown menu. You'll be taken to your account dashboard where all signature options live.
Tip: Settings can only be accessed from the web app, not the mobile app. Use a desktop or laptop browser for best results.
Navigate to the Signature Section
In the left sidebar, click "Account" at the top, then scroll down to find the "Signature" section. If you use multiple email addresses or aliases, you can set different signatures for each one.
Tip: Each address can have its own unique signature, which is helpful if you manage both personal and business accounts.
Enable Your Signature
Toggle the "Add signature" switch to the ON position. An empty text box will appear below where you can type your signature content. If the toggle is off, no signature will be added to your outgoing emails.
Type or Paste Your Signature Content
Click in the text box and enter your signature. You can include your name, job title, phone number, website, and social media links. Keep it concise—most professionals use 3-5 lines. You can also add line breaks and basic formatting like dashes or asterisks.
Tip: Proton Mail does not support HTML formatting in the signature editor, so stick to plain text. If you need advanced formatting (colors, logos, custom fonts), consider using SignatureFox to generate HTML that Proton Mail will accept.
Save and Test
Scroll down and click the "Save" button to apply your signature. Write a test email to yourself or a trusted contact to confirm your signature appears correctly at the bottom of the message. Check that line breaks and spacing look the way you intended.
Tip: Your signature will now automatically appear on all new emails. It won't be added to replies by default unless you manually enable that in advanced settings.
Common Problems and Fixes
My signature appears with extra spacing or unwanted line breaks.
Remove any accidental spaces or extra returns between lines. Proton Mail's text editor can add spacing automatically. Delete unnecessary blank lines and use single line breaks between sections.
My signature only appears on new emails, not replies.
This is Proton Mail's default behavior. To add your signature to replies, go back to Settings > Signature and look for advanced options. Some plans allow you to enable signatures on replies and forwards.
Special characters or emojis are showing as strange symbols.
Proton Mail's plain-text signature editor has limited support for special characters. Stick to standard ASCII characters (letters, numbers, dashes, periods, @). Avoid emojis and accent marks unless your recipients use modern email clients.
💡 Pro Tip
If you manage multiple Proton Mail addresses, visit Settings > Account > Manage addresses and set up a unique signature for each one. This way, team members, clients, or family will see the right signature based on which address you sent from.
Why This Matters
Proton Mail's plain-text signature editor works fine for simple contact details, but if you want a professional signature with your logo, headshot, or custom colors that actually displays in Gmail and Outlook too, SignatureFox generates HTML code that works across all email clients.
